City council approves Privacy Policy

City of Cranbrook council Dec. 7 approved a Privacy Policy (No 20-202) that is intended to provide clear guidelines on how the city collects, uses, protects and discloses personal information.

A city administrative report explained the step is part of an ongoing review of the city’s policies and procedures. The development of a privacy policy has been identified as a necessity to align with the city’s practices, Freedom of Information and Protection of Privacy Act (FOIPPA) legislation, the city’s Freedom of Information Bylaw, as well as privacy requirements of outside agencies with which the city shares personal information.

Staff reviewed the city’s practices and the requirements under FOIPPA to create a policy that outlines the city’s guidelines on:

  • the collection of personal information;
    • the use and disclosure of personal information;
    • the retention of personal information
    • the security of personal information; and
    • the accuracy and correction of personal information.
    Cranbrook’s Freedom of Information and Protection of Privacy Bylaw No. 3513, 2005designates a person or group of people as the Head of the Municipality and provides authorization for staff to carry out the duties required under FOIPPA as well as establishes fees for processing Freedom of Information requests.

The Privacy Policy supports the bylaw by establishing guidelines and clarifying responsibilities of city staff.
